Getting started

What does Open Voice Agent do?

Open Voice Agent is an AI receptionist for routine business calls and enquiries through the channels identified in your order. It uses approved business information, takes messages and callback requests, and can use permitted transfers and follow-up links. It does not replace professional judgement or emergency services.

How do I set it up?

Find your Google Business Profile, add your website or enter the essentials yourself. Review the information, prepare your receptionist and check the draft. Choose your call rules, make a private test call and approve the setup before routing customers to it.

What should I test?

Try common customer questions, an enquiry Open Voice Agent cannot answer, your opening hours, a callback request and any enabled transfer or message flow. Review the transcript and correct the source information or settings before launch.

How quickly can I go live?

Setup is guided through chat, but completion time is not guaranteed. Reviewing your information, testing, number approval and carrier configuration may take longer. Only go live when the setup is ready.

Numbers, calls and transfers

Can I use my existing number?

You can forward calls to the Open Voice Agent number where your current carrier supports it, or use your new Open Voice Agent number directly. Follow instructions for your provider and test the result. Carrier forwarding charges may apply.

Is forwarding the same as transferring?

No. Forwarding sends an incoming call from your original number to Open Voice Agent. A transfer is a later action in which Open Voice Agent connects the caller to an approved person, subject to your rules and availability.

What if Open Voice Agent cannot answer?

Set an appropriate fallback: take a message, capture a callback request or use an approved transfer during the times you allow. A callback request records that someone needs a response; it does not guarantee your team has made or scheduled that call.

What happens if the AI makes a mistake?

Review important outcomes and tell us what went wrong, with the approximate time and relevant business context. Avoid sending unnecessary caller data. Check and correct the approved information, then test the revised behaviour before relying on it.

What if calls are not arriving?

Check that your subscription and number are active, your carrier forwarding destination is correct and your routing schedule allows the call. Test your original number and the Open Voice Agent number separately. If the problem continues, contact support with the time and symptoms; keep a separate fallback number available.

Messages, links and website chat

Can Open Voice Agent book into my calendar?

Your receptionist can share your approved booking link through an enabled, permitted channel. A booking link does not itself make a booking. Direct booking inside an external calendar or updating a CRM requires a separate supported integration identified in your order.

Can Open Voice Agent send a caller an SMS?

Yes, through an enabled, approved messaging flow with the required permission and provider evidence. A verbal request alone must not be assumed sufficient for every sender arrangement. Delivery can fail or be delayed, so keep another route for important information.

Is website chat included?

Yes. The website voice and chat widget is included in your monthly plan and uses the business information you approve. Website chat is unlimited under the acceptable-use terms.

Is there a mobile app?

The iOS and Android app concepts are marked Coming Soon. Do not rely on them as released account-management tools. Use the available web account and support route.

Read the SMS and messaging terms for permissions and delivery rules.

Your plan, billing and free trial

What does the plan cost?

£49 per month on a monthly rolling subscription. Cancel anytime. All features and unlimited team members are included. The total monthly payment and any applicable VAT breakdown are shown before you subscribe.

What is the included usage?

All features are included, with unlimited team members, receptionist calls, texts and minutes, and website chat. Usage is for ordinary business reception under the acceptable-use and messaging terms; bulk marketing is excluded. There are no per-minute, receptionist-text or team-seat overage charges for that use. Your telephone provider may charge separately for call forwarding. The free trial has its own voice allowance.

How does the 7-day free trial work?

7-day free trial with 30 total voice minutes shared by test and incoming calls. Card required upfront. After seven days, your £49 monthly subscription begins unless you cancel beforehand. It renews each month until cancelled. We’ll remind you before your trial ends. Using all 30 minutes does not trigger an early charge. Exact trial end, first billing time, monthly price and cancellation route must be shown before starting.

How do I cancel?

Use the cancellation method in your order or email billing@openvoiceagent.com, including if you cannot sign in. Trial cancellation prevents paid conversion; remaining time and unused minutes continue until the original trial end. Paid cancellation stops the next renewal, with access until the paid-period end. A timely request remains timely if processed later. Keep the confirmation and separately arrange replacement carrier forwarding if calls should stop going to Open Voice Agent.

Read the cancellation and refunds guide for charge queries and exit steps.

Data, recording and security

Are calls recorded?

Live audio processing, saved audio, transcripts and summaries are different things. Saved recording depends on the approved configuration; do not assume every call is recorded or that disabling recording stops all transcription. Give callers appropriate information about the actual setup.

How long is information kept?

Useful recordings, transcripts and service history follow specified lawful purposes, meaningful review criteria and customer instructions. Full-content need is reviewed when an enquiry or follow-up closes and when its purpose or the relationship changes. An active subscription does not justify keeping every recording forever. At processing end, return or deletion follows the customer’s choice and the DPA, subject to necessary legal exceptions. Cancellation and archiving are not erasure; see the privacy notice for the retention criteria.

How do I ask about my own data?

If you called or chatted with an Open Voice Agent customer, start with that business because it normally controls the enquiry information. You can also email team@openvoiceagent.com for help routing a request. You do not need an Open Voice Agent subscription to exercise applicable privacy rights.

Read the privacy policy and security and data handling page, or contact us about your data. You do not need to sign in to ask for help.
